In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.

- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes

In Short: We may use cookies and other tracking technologies to collect and store your information.
Website analytics and session replay. On our public website at https://mntr.ai we use Contentsquare, a digital experience analytics service. Contentsquare records how visitors interact with our pages — mouse movement, clicks, scrolling, and how far you get through a form — and lets us replay that interaction. We use it to understand which parts of the site are confusing, to diagnose bugs and broken flows, and to help you if you contact us about a problem you hit on a page. Contentsquare runs on our public website only. It is not used inside the MNTR application at https://os.mntr.ai, where our content security policy blocks it, and it therefore never has access to your Gmail, Calendar or Drive content, your call recordings, or anything else you connect to MNTR. You can opt out of Contentsquare across all sites that use it at contentsquare.com/privacy-center.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements, to tailor advertisements to your interests, or to send abandoned shopping cart reminders (depending on your communication preferences). The third parties and service providers use their technology to provide advertising about products and services tailored to your interests which may appear either on our Services or on other websites.
To the extent these online tracking technologies are deemed to be a "sale"/"sharing" (which includes targeted advertising, as defined under the applicable laws) under applicable US state laws, you can opt out of these online tracking technologies by submitting a request as described below under section "DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?"
Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice.

We may share your information with Google Analytics to track and analyze the use of the Services. To opt out of being tracked by Google Analytics across the Services, visit https://tools.google.com/dlpage/gaoptout. 7. GOOGLE API DATA USE
MNTR integrates with Google APIs to provide core features of the Service, including email management, calendar access, and communication analysis. When you connect your Google account, MNTR requests access to specific Google API scopes as described below. Our use of data received through Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements.
Scopes we request and why:
| Google API Scope | Purpose |
|---|---|
| gmail.readonly | Read email content so the assistant can surface relevant context, generate summaries and action items, and prepare draft replies for you to send yourself |
| calendar.readonly | Read calendar events to prepare pre-call briefs and surface scheduling context |
| calendar.events | Create or update calendar events at your direction |
| drive.file | Create and manage only the files MNTR itself creates, in a dedicated folder. This scope grants no access to the rest of your Drive, and MNTR never reads files it did not create |
How we use this data:
Data obtained through Google APIs is used solely to provide and improve the features you have authorized. Specifically, we use this data to:
- Deliver the AI-assisted Chief of Staff features you have enabled, including inbox management, calendar awareness, and communication drafting;
- Generate summaries, action items, and briefs derived from your communications; and
- Enable you to review and edit drafts, which you then send yourself from your own email client.

- We do not use data obtained through Google APIs to train, fine-tune, or improve any artificial intelligence or machine learning model, whether operated by MNTR or by any third-party AI provider, under any circumstances.

- We do not use Google API-sourced data for advertising, profiling, or any purpose unrelated to the features you have explicitly enabled.
Data retention and deletion:
Google API-sourced data is retained only for as long as necessary to deliver the Service. If you disconnect your Google account or revoke OAuth permissions at any time through your Google account settings, MNTR deletes the data obtained through those permissions. If you disconnect inside MNTR, deletion is immediate unless you choose to keep your data. If you revoke access from your Google account settings instead, we detect this the next time we attempt to use your connection, and you can delete the derived data at any time from your MNTR settings or by contacting us. You may also request deletion of your data at any time by contacting us at privacy@mntr.ai.
Revoking access:
You may revoke MNTR's access to your Google account at any time by visiting https://myaccount.google.com/permissions. Revoking access will disable Google-connected features of the Service but will not affect your MNTR account or any data you have independently provided to us.

We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider.
